    In conference and event centers it is particularly important to inform the audience, but in some cases they fail to do so. Many people wander around helplessly looking for their seats or the place of the event. The main reason is that commonly used information platforms, such as posters, or pre-recorded videos are hard to update.

    LONG WAIT TIMES, SLOW ADMISSION

    Nowadays, getting into an event can be a long lasting process, causing a bad first impression. The reason is that hostesses have to register the participants based on a provided list.

    CONVENTIONAL AND COSTLY SOLUTIONS

    The lack of digital devices cause problems not only during registration. On a B2B meeting, organizers need a large staff to keep everything under control. Statistical data on the participants and on the outcome of the meeting, can be inefficient, inaccurate and even confusing.

    THE GOAL - DIGITAL CONFERENCE MANAGEMENT

    This is possible by using the devices and solutions designed and developed by Senso Media.

    We developed a complex Digital Conference Management (DCM) system, supporting any event from registration, to information and advertising, to B2B meetings.

    BEFORE THE EVENT
    • Saving an Excel list of clients already registered or registered by a partner. It is important that every client’s detail should be entered in the database by using the same format.
    • Making and delivering NFC admit cards.
    • Choosing B2B partner.
    • B2B matrix (the automated system adds an option, which can be changed by the admin).
    • Sending e-mails and text messages of B2B venues and dates.

    THE EVENT IS DIVIDED INTO 5 WELL SEPARATED PARTS

    I. REGISTRATION AND GREETINGS

    Guests touch their NFC cards on the screen of the Double Digital Tower. If they are entitled to admission the virtual hostess will greet them by name and company.

    FURTHER POSSIBILITIES
    • Exchanging lost, or defective card.
    • Playing ads on the Double Digital Tower.
    • Following registration through an operative admin interface.
    II. INFORMATION POINTS

    Installed Information desk allow guests to

    • Check their status.
    • List participating companies.
    • List empty tables.
    • Display and to navigate through the map of the event.
    • List other events.
    • Send information via e-mail.
    • Send the list of participating businessmen and delegation via e-mail.
    III. B2B TABLES

    The partners meet at their table, where Mini Information desks are installed. Their role is to

    • Display the names and companies of both parties involved in the discussion.
    • Identify the partners through the NFC card.
    • Identify the interpreter through the NFC card.
    • Identify the controller through the NFC card.
    • Automatically start the timer.
    • Notify the parties when the time’s nearly up.
    • Notify when a partner is late.
    • Inform the partner, in case the other party has not shown up.
    IV. EMPTY TABLES

    If both parties would like to continue the discussions, or two parties that haven’t registered yet, then there’s a possibility to use available Empty tables.

    Mini Information desks are installed to help them with identification. In this case, parties can go beyond the time limit, but they have to repeat the identification from time to time.

    V. DEPARTURE

    Guests can check out by using their NFC cards. The virtual hostess says goodbye to participants, the system stores their time of departure.

    If anyone forgets to check out, the system will automatically signs them out as the event is over.

    AFTER THE EVENT

    The system summarizes the data regarding the event. The detailed, visual data can be easily interpreted and compiled in a database, which can be useful for the next event.

    Next to the Information Kiosks, we can install small SensoEye data collecting devices. These SensoEye units analyze the faces of people, then determine the composition of the public by age and gender.
